We are looking for an experienced Event Coordinator to join our team and contribute to our growth by organizing impactful events that promote our brand and support our franchisors.
Job Overview
The Event Planner will be responsible for planning, coordinating, and executing a variety of events, including franchise conferences, webinars, virtual events, mixers, other promotional activities, and team member events. As well as partnering with other vendors to deliver large scale events. The ideal candidate will have a strong background in event planning, excellent organizational skills, and the ability to manage multiple projects simultaneously. This role requires creativity, attention to detail, strong communication skills, responsiveness, and a passion for delivering exceptional experiences. Overnight Travel is required.
Key Responsibilities
- Event Planning and Coordination:
- Plan, organize, and execute a variety of events, including trade shows, conferences, seminars, and corporate meetings.
- Develop event concepts, themes, and agendas that align with the company’s objectives and brand image.
- Coordinate all logistical aspects of events, including venue selection, catering, transportation, and accommodation arrangements.
- Budget Management Develop and Oversee Event Budget:
- Create a comprehensive budget for each event, detailing all projected expenses and revenues. Continuously monitor actual expenditures against the budget, ensuring that the event remains financially on track.
- Expense Tracking and Reporting: Maintain accurate records of all expenses, including vendor payments and any unforeseen expenses. Provide regular updates on costs to stakeholders, highlighting any variances from the budget and proposing alternatives as needed.
- Financial Compliance: Ensure all expenses comply with FFL policies.
- Vendor Management:
- Identify and negotiate with vendors and suppliers to ensure high-quality services at competitive prices.
- Manage contracts, budgets, and timelines with vendors and suppliers.
- Marketing and Promotion:
- Collaborate with the marketing team to develop promotional materials and strategies for events.
- Utilize social media, email marketing, and other channels to promote events and drive attendance.
- Stakeholder Communication:
- Serve as the main point of contact for internal and external stakeholders involved in events.
- Provide regular updates and reports to senior management on event progress and outcomes.
- On-site Management:
- Oversee event setup, execution, and teardown.
- Ensure a smooth and efficient operation during events, handling any issues or emergencies that arise.
- Post-Event Evaluation:
- Collect feedback from attendees and stakeholders to assess the success of events.
- Analyze event outcomes and provide recommendations for future improvements.
- Work with Finance to align spend of the event and determine ROI and strategy for future events or other alternatives.
Qualifications

- Bachelor’s degree in Event Management, Marketing, Business Administration, or a related field.
- 3+ years of experience in event planning, preferably within a franchising or sales organization.
- Proven ability to manage multiple events simultaneously.
- Strong organizational and project management skills.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and Microsoft Office Suite.
- Ability to work flexible hours, including evenings and weekends, as required.
